The good versions of this category share a few non-negotiables: a single source of truth for member data, role-based access for your team, real-time sync with biometric devices, and audit trails on every financial action. The bad versions are basically dressed-up Excel.

Who actually needs it?
Not every gym needs sophisticated software. Some quick rules of thumb:

Nice-to-haves vs. marketing fluff
A non-exhaustive list of features that sound impressive but rarely move the needle for an actual gym:
- "AI-powered insights" — usually means a chart with no human action behind it. Look at the underlying metric instead.
- "Gamification" — leaderboards and badges. Some gyms love them; most members ignore them. Don't pay extra for it.
- "Custom workout plans" — trainers' apps do this better. Your management system doesn't need to be one.
- "Wearable integrations" — Apple Watch / Fitbit sync. Cool, but rarely drives a subscription decision.
None of these are bad — they're just rarely worth choosing a slower / clunkier platform to get. Optimize for the eight essentials above first.
